You have the option to book through email, telephone, or directly online via our website. Whichever method you choose, you must complete a booking form and submit it to ACCOR HOLIDAYS, along with the appropriate deposit payment.
To ensure availability for your desired trip(s), we recommend contacting us by phone or email before making your booking.
Terms and Conditions:
Please find below the detailed terms and conditions. It is important to read them thoroughly. By signing the booking form, you (and any other individuals on whose behalf you are booking) agree to accept all of these conditions and acknowledge that you have reviewed the booking conditions in their entirety. Furthermore, you confirm that the information provided on the booking form is accurate and complete.
Late Bookings:
No additional charges apply for late bookings. However, for the Tibet/Bhutan/India holiday, full payment is required at the time of booking.
Deposit Payments:
Your Booking Form should be accompanied by a deposit of 25% of the trip cost per person. The deposit can be sent to ACCOR HOLIDAYS via bank transfer. The remaining balance can be paid 60 days before the trip departure for most trips, except for the Nepal trip, where the balance can be paid 4 weeks prior to departure via bank transfer.
Confirming Your Booking:
Once we receive your booking form, we will make any necessary flight and hotel reservations. We will then send you a written confirmation of your booking via email.
Modifying Your Booking:
If any information provided on your booking form changes, such as your passport number or contact details, it is essential to inform us immediately. Failure to do so may result in charges imposed by airlines or government authorities, for which you would be responsible. If you decide to transfer your booking to an alternative departure or holiday, an administration fee of US$200, plus any additional costs incurred, will be charged. However, please note that if changes are made within 8 weeks of departure, we are unable to transfer your booking to an alternative holiday.
Data Protection:
We take full responsibility for implementing adequate security measures to protect your information. When you make a booking, you consent to the sharing of your provided information with our suppliers, regardless of their location.
Baggage Allowances:
We kindly request that you limit your personal clothing and equipment to a maximum of 25kg. Some of our trips involve internal flights to mountain sectors during hiking holidays, where the maximum permitted baggage allowance is usually 15kg. For our mountain bike holidays, please ensure that your bike adheres to the baggage allowance. Additionally, please note that you can leave unnecessary clothing at your hotel in Kathmandu free of charge. ACCOR HOLIDAYS is not liable for any excess baggage charges.
Equipment Purchase and Rental in Kathmandu for Hiking Holidays:
Most items required for your hiking trip can be purchased or rented at affordable prices in Kathmandu. If you wish to buy or rent equipment in Kathmandu, please inform us, and we will check availability during your intended period.
Passports:
A valid passport is mandatory, with an expiration date of at least six months after the completion of your trip. To secure your booking and avoid additional charges, it is crucial to provide accurate passport information at the time of booking.
Visas:
For many of our holidays, a visa is required. In Nepal, you can obtain your visa upon arrival at Kathmandu airport. For Tibet and Bhutan trips, we will handle your visa arrangements. For India, you should obtain a visa from your home country. Please inquire about visa requirements when making your booking to ensure you receive the latest information, as visa regulations and embassy policies can change. We strive to inform you of the requirements to the best of our abilities, but we cannot be held responsible for visa issues resulting from embassy errors, regulatory changes, or actions by border officials beyond our control.
Passport Size Photographs:
Please carry six passport size photographs for all trips. Although you may not need all six photographs for the entire featured trip, it is advisable to have them with you to avoid any inconvenience.

Therefore, we reserve the right to make changes to any information on this website, and these amendments will be incorporated into your booking contract with us.

We hold licenses from various authorities, including the Office of Company Register (Ministry of Industry), Department of Tourism (Ministry of Culture, Tourism, and Civil Aviation), Tourism Industry Division, Department of Tax (Ministry of Finance), and the Department of Foreign Currency Exchange, National Bank of Nepal. We are proud members of NATTA (Nepal Association of Tour and Travel Agents).
Our registration and membership in these organizations ensure that our accounts undergo regular and stringent independent scrutiny, reducing the likelihood of failure. You can confidently book with ACCOR HOLIDAYS, knowing that all payments made for trips are fully protected. If you book through our Agent worldwide, all funds paid to the Agent are held on behalf of ACCOR HOLIDAYS.
Your Holiday Price:
The prices displayed on this website are accurate at the time of publication. However, we reserve the right to change prices periodically. Therefore, it is possible that the price may have increased or decreased by the time you make your booking. In such cases, we will confirm the correct price before finalizing your booking.
Force Majeure:
We will not provide compensation if we need to cancel or alter your travel arrangements due to circumstances beyond our control, such as war, riots, industrial disputes, terrorist activities, natural or nuclear disasters, fires, adverse weather conditions, or other unforeseen circumstances that qualify as force majeure.
If You Cancel Your Holiday:
If you wish to cancel your holiday, the following cancellation charges will apply:
Nepal/Tibet/Bhutan/India:
More than 60 days: Only the deposit
4 weeks: 40% of Holiday Cost
2 weeks: 60% of Holiday Cost
Less than 2 weeks: 100% of Holiday Cost
Responsibility:
By making a booking, you acknowledge and accept the potential risks and hazards associated with adventure holidays. You must be mentally and physically capable of undertaking your chosen trip. If you have any existing medical conditions or disabilities that may affect your holiday, please inform us before booking. In our reasonable opinion, if we determine that your chosen holiday is unsuitable for your medical condition or disability, we reserve the right to refuse your booking. We also reserve the right to cancel the contract if medical problems are discovered.
Travel and Cancellation Insurance:
In order to participate in our holidays, it is essential to have sufficient insurance coverage for the entire duration of your trip. This insurance should include provisions for medical expenses, injury, death, repatriation costs, helicopter evacuation, as well as trip cancellation and curtailment. In the event of an emergency requiring medical rescue or evacuation during the trip, whether by foot, helicopter, or any other means, the client is responsible for the associated costs. It is of utmost importance that you ensure you have adequate insurance coverage before your departure.
We reserve the right to cancel your booking at any time prior to departure if we are not satisfied that you have appropriate insurance in place. Please note that all baggage and personal belongings, including mountain bikes, are solely your responsibility throughout the trip. We will not be held liable for any loss, damage, or accidents involving your luggage or personal property, regardless of how they may occur. It is advisable to carefully review the limitations of your insurance policy in relation to these matters.
In case you have a complaint:
If you encounter any issues during your holiday, please inform your tour leader immediately. They will make every effort to address and resolve the problem. If the complaint is not resolved locally, please contact our head office in Kathmandu before your departure. It is important to communicate your complaint promptly to your tour leader, as most problems can be resolved during the trip. For any unresolved issues, we will work towards a solution upon reaching Kathmandu. Please reach out to the following person in case of complaints. We will take the necessary actions once the problem is acknowledged, and we will keep you updated upon receiving your email or message with a solution.

Important Warning:
This is an adventure travel experience, and many of the destinations featured on our website are remote areas within underdeveloped countries. Events in these areas are often less predictable than in more conventional travel destinations. Despite our meticulous planning and organization, our adventure trips cannot be taken for granted like regular trips. Many of the places we visit may lack the same level of emergency health and safety services found in developed countries. Internal flights may be subject to cancellations, road transport can be uncomfortable and unreliable, and accommodations may not meet Western standards.
IF YOU ARE NOT PREPARED FOR THIS, YOU SHOULD NOT TRAVEL WITH US. The inherent unpredictability means that the itineraries provided for each trip should be considered as intended plans rather than contractual obligations. Various factors such as weather, transportation difficulties, and political instability may necessitate changes to the itinerary. The trip leader will make any necessary adjustments in consultation with the group. While significant changes are rare, we will always strive to minimize the impact of enforced alterations. We cannot be held responsible for the consequences of changes or delays, regardless of their cause.
